‘20 Certificate of Excellence

Most people come to us in one of three situations. The books are behind and CRA is asking questions, the business has outgrown whoever was handling the bookkeeping, or the numbers just don't tell them anything useful anymore. We fix all three, and make sure you don't end up there again. VertAcc Solutions is an Ottawa firm that has spent more than twenty years giving Canadian businesses financial records they can actually make decisions from. We're a complete back office: bookkeeping and monthly close, corporate and personal tax preparation, GST/HST, payroll, incorporation, budgeting and forecasting, and restructuring. One senior team handles your file from start to finish, not a rotating cast of juniors, and not a different person every time you call. Twenty years. Hundreds of clients. Thousands of returns. We've filed thousands of corporate and personal returns over two decades, covering T1, T2, GST/HST, T4 and T5, as a CRA Authorized Electronic Filer submitting through the Canada Revenue Agency's authorized channel. When CRA sends a notice, a review or an appeal, we correspond with them on your behalf so you don't have to. Our clients run from sole proprietors and family businesses to large corporations and multinational groups with complex multi-entity structures. Our team has spent careers inside the country's most regulated environments, including courts, law firms and international tax, and it shows in the details: reconciliations that hold, filings that clear, and records that stand up when someone asks a hard question. Elite QuickBooks ProAdvisor, the highest Intuit tier in Canada. Elite sits at the top of Intuit's five-tier program, and very few firms in the country reach it. It can't be bought or applied for. It's earned through advanced certification across the full QuickBooks Online suite, a substantial book of managed clients, and a proven record of migrations, and it has to be re-earned as the platform changes. What that means for you is that we're not learning your software on your time. We've run QuickBooks for over twenty years across hundreds of client files, and we'll move you onto it end to end, whether you're coming from PCLaw, Cosmolex, Sage, a legacy desktop system or spreadsheets. We configure it properly and train your team on a setup they'll actually use. We take on the work other firms refer out. We're a certified LEAP consultant and have trained more than 300 legal professionals, including lawyers, judges and executives, on LEAP and other practice-management platforms. Law firm trust accounting, reconciled monthly to your Law Society's standard, is a specialty rather than an exception. Multi-entity consolidations, restructurings, years of cleanup, a complicated CRA history: that's ordinary work here. The VertAcc Platform. We built our own system, because the off-the-shelf tools stopped where the real work started. You get a live view of your business, covering revenue, expenses, cash position, P&L and balance sheet, pulled continuously from your bank feeds, invoices and receipts, so you're never waiting until month-end to find out where you stand. Every number on the screen drills straight through to the document behind it, with a full audit trail. It reconciles as it goes, tracks your remittance deadlines, handles multi-entity and multi-currency structures, and catches problems while they're still small: duplicate charges, missing receipts, unusual vendors, spending that crosses a threshold. At the centre of it is VertAcc AI, our own accounting intelligence, built in house rather than bolted on from a generic chatbot. It's been trained on years of real accounting data and refined continuously, so it understands Canadian filings, deadlines and the way real books behave. It runs on our own servers, fully encrypted, which means your financial information never leaves our infrastructure and is never used to train public AI models. Ask it anything about your own numbers in plain English and it answers, showing you the data it drew from. For private clients and family offices, a white-glove tier brings household finance, trust accounting and reporting into the same place. The point was never the technology. It's that the Platform absorbs the reconciling, matching and chasing that traditional firms bill hours for, so our people spend their time on the part that actually needs a person: what changed, what it means, and what you should do next. No surprises on the invoice. You'll know what the work costs before we start, and we'll tell you before anything changes. Take the full back office on a monthly basis, or just the piece you need, whether that's a single return, a cleanup or one payroll run. We're not going to bill you for the phone call. What working with us looks like. We start by mapping your operations end to end, so we understand where the money is really going before we recommend anything. Then we build a plan sized to your business, do the work, and keep refining it as things change. You'll always know where your file stands, and nothing is a black box. Every figure traces back to its source, and we'll walk you through any of it. Clients come to us to get filed. They stay because their numbers finally tell them something. Every business we've worked with has left us a five-star review, and we'd far rather earn a client's work every year for a decade than win it once. We work with sole proprietors, incorporated businesses, professional practices, law firms, e-commerce and retail, real estate, import and export, manufacturing and technology. Based at 1 Rideau Street in Ottawa, serving clients across Ontario, Canada-wide and internationally, in English and French. Tell us where things stand and we'll tell you honestly whether we can help. The first conversation is free.

What kind of accounting services do you provide?

We're a complete back office, which means you can hand us as much or as little as you want and it all sits with one team.

Day to day, that's bookkeeping and monthly close, bank and credit card reconciliation, accounts payable and receivable, and payroll with all the source deductions and remittances handled on schedule. At year end it's your financial statements, corporate tax returns (T2), personal returns (T1), self-employed returns, GST/HST, and T4, T4A and T5 slips, all filed through CRA's authorized E-FILE channel as an Authorized Electronic Filer.

We also do the work a lot of firms would rather not touch. Catch-up and cleanup when the books are years behind. Back-filing unfiled returns and voluntary disclosures. CRA notices, reviews, audits, objections and appeals, where we correspond with the agency directly on your behalf. Trust accounting for law firms, reconciled monthly to your Law Society's standard. Multi-entity groups, holding company structures, foreign income and multi-currency books.

On top of that sits the advisory work, which is really the point of keeping clean records in the first place: budgeting and forecasting, cash flow planning, management reporting, financial optimization and restructuring, business plans and financing support, and government grant and funding applications.

And because most accounting problems are really systems problems, we handle incorporation, CRA account registration, QuickBooks Online migration and training as an Elite ProAdvisor, LEAP implementation for law firms, and connecting the apps around your books so information gets entered once instead of three times.

If you're not sure which of those you need, that's normal. Tell us what's going on and we'll tell you.

Why is it so important for businesses to hire a great accountant?

Because the difference between an adequate accountant and a great one almost never shows up in the fee. It shows up two or three years later, in money you either kept or didn't.

An adequate accountant files your return. It goes in on time, it's technically correct, and you never hear from them in between. A great accountant is looking at the same information and noticing things: that your margins have been quietly sliding for three quarters, that you're structured in a way that's costing you every year, that a receivable has been sitting unpaid since March, that you're about to cross a threshold that changes your obligations. None of that is on a tax return. All of it is in the numbers, and it only surfaces if someone is actually reading them.

Then there's the downside protection, which people underestimate until it happens to them. Missed remittances draw penalties immediately. A CRA review handled badly gets expensive fast. Books that were kept carelessly for years become someone's problem eventually, usually at the worst moment, when you're selling the business or applying for financing or standing in front of a lender who wants three years of clean statements you cannot produce. We've been called in to fix all of those, and the repair always costs more than doing it properly would have.

The thing most owners tell us afterwards is that they didn't realize how much mental weight they'd been carrying. Not knowing where you stand is genuinely exhausting, and it makes people avoid their own finances, which makes it worse. A good accountant takes that off you. You stop guessing, you stop dreading the mail, and you start making decisions with actual information behind them.

That's the real argument. Not compliance, which is the floor. It's that your books, kept well and read properly by someone who knows your business, are one of the few tools you have for making the business better. Most businesses are paying for that already and simply not getting it.

What do you love most about your job?

The moment a client stops being afraid of their own numbers.

People arrive here carrying a lot of stress. Unopened CRA envelopes, a year of receipts in a drawer, a business that's clearly making money but somehow never has any. What I enjoy is not the filing itself. It's the conversation a few months later, when someone who used to avoid the topic entirely is asking sharp questions about their margins, or telling me what they want to do next year and asking whether the numbers support it. That's a different person than the one who first called.

The other part I genuinely love is the puzzle. Twenty years in and a set of books that has been kept badly for six years is still an interesting problem. Somewhere in there is a coherent story, and finding it is satisfying every single time.

What inspired you to start your own business?

I'd spent years working inside highly regulated environments, in courts, law firms and international tax, and I kept running into the same thing. Businesses were being charged a great deal of money for work that was slow, opaque and delivered too late to be useful. The information existed. It just reached the owner months after they could have done anything with it.

I also watched good businesses fail for reasons that were visible in their books long before they became fatal, and nobody had told them, because nobody was looking between the annual filings.

So the firm was built around a different idea: that accounting should tell you something while you can still act on it. That's why we eventually built our own platform rather than resigning ourselves to the tools available, and it's why we'd rather have a client for ten years than bill them heavily once. Everything about how we work follows from that.

Why should our clients choose you?

Three honest reasons.

Experience that's been tested. More than twenty years, hundreds of clients and thousands of returns filed, across everything from sole proprietors to multinational groups. We're an Elite QuickBooks ProAdvisor, the highest Intuit tier in Canada, which cannot be bought or applied for and has to be re-earned as the platform changes. We're a CRA Authorized Electronic Filer, and a certified LEAP consultant who has trained over 300 lawyers, judges and executives. When something unusual lands on your file, we've almost certainly seen a version of it before.

You get senior people, and the same ones. Your file is not passed to a junior and reviewed in a hurry at year end. One team handles it start to finish, and you speak to the person who actually knows your business. We answer, including in tax season, and we're not going to bill you for a phone call.

We built the technology, so you get the judgment. Our own platform handles the reconciling, matching and chasing that traditional firms bill hours for, and gives you a live view of your business instead of a report about last year. What that buys you is our attention on the part that actually needs a person: what changed, what it means, and what to do about it.

And underneath all of it, we do what we say we'll do. You'll know what the work costs before it starts, you'll know where your file stands, and every number we give you traces back to the document behind it. Every business we've worked with has left us a five-star review, and that's the part of our reputation we're most careful with.

Can you provide your services online or remotely? If so, please add details.

Yes. We work remotely with clients across Ontario, throughout Canada and internationally, and for most of our clients the entire relationship runs that way from the first call to the filed return.

Here's what that actually looks like. You send us documents through a secure portal, or we connect directly to your bank feeds, accounting software and receipt capture so most of it flows in automatically without you sending anything at all. Your books live in the cloud, so you and your team can see them any time rather than waiting for us to send something. Returns are signed electronically and filed directly with CRA through the authorized E-FILE channel. Payroll runs on schedule with direct deposit to your staff. When CRA writes to you, we correspond with them on your behalf as your authorized representative, which happens entirely without you needing to be in a room with anyone.

Meetings happen by video or phone, whichever you prefer, and we schedule around your working hours rather than ours. Onboarding is remote too, including QuickBooks migration and training your team on the new setup.

Remote does not mean slower or less personal here. It means your accountant is reachable from wherever you are, your records are current rather than sitting in a filing cabinet, and geography stops being a factor in who you get to work with.

That said, we're based at 1 Rideau Street in Ottawa and we're always glad to meet in person if you're local and would rather do it that way. Some conversations are simply better face to face, and we'll never make you do it over a screen if you don't want to.

What changes have you made to keep your customers safe from Covid-19?

We follow all standard local health and safety regulations current to 2026.
