Creditors Functions:
Process purchase requisition worksheets and creating purchase orders on suppliers,
Ensure purchase orders are signed off by relevant departmental managers before transmitting these to suppliers,
Capturing suppliers invoices on Dynamics,
Reconciling supplier statements ensuring all documentation is complete,
Check pricing from suppliers, agrees to orders placed and quotes obtained,
Follow up with vendors on any invoices not received or queries on the statement,
Prepare supplier payments and submit for authorization and electronic payments,
Ensure all payments and receipts are captured on a weekly basis and reconciled to bank statement,
Submit all payments for electronic payments weekly.
Petty Cash:
Handle requests for petty cash and process all entries on Dynamics,
Reconcile petty cash on a monthly basis and prepare re-imbursements when necessary,
Ensure cash on hand is correct at all times.
Cash Flow:
Update daily cash flow forecast and review this with the Financial Manager weekly,
Update suppliers' payment spreadsheet and submit to Financial Manager weekly.
Financial Reporting:
Process all monthly journals on Dynamics, including all recurring journals,
Process necessary entries on prepaid revenues and prepaid expenses,
Process accruals for expenses and revenues when applicable,
Ensure all allocations in the general ledger are correct and prepare and post necessary journals to correct when needed.
Payroll Functions:
Manage VIP payroll and load monthly salaries,
Load new employees on VIP payroll,
Leave administration on VIP payroll,
Checking calculations of all refunds and deductions,
Preparations of commission sheets and ensure that they are signed off by respective managers.
Ensure all allocations in the general ledger are correct and prepare and post necessary journals to correct when needed,
Calculation of Technicians' business kilometres as per petrol sheets...
