I am an Office Manager/Bookkeeper. I am passionate about business and my sole purpose is to ensure the office runs like clockwork. My workload is varied and for this reason it is difficult to put into a few words everything I do
My priority functions are:
QUALITY SYSTEMS
o to manage all of the Quality and Health and Safety Systems ie ISO 9001, Safe Contractor and other trade related quality procedures, carrying out internal audits, developing and implementing systems, ensuring changes in systems are documented and meet with the relevant criteria to carry the business forward, conducting annual audits with the external auditor and ensuring the company retains the relevant certification
FINANCE
o to manage the finance side of the business, undertaking the bookkeeping function, vat returns, bank reconciliation, sales invoicing, credit control, processing supplier invoices – ensuring the goods supplied are correct, pricing is correct and making payment of supplier invoices on time, forward planning for cashflow
o to manage the payroll and HR function. I am involved in recruitment of staff throughout the whole company, creating recruitment adverts, interviewing, writing contracts of employment, managing holidays, sickness and staffing levels, processing the payroll, setting up and administering pensions, CIS contributions,
BUSINESS
o to manage the diary, scheduling works for engineers in the field
o conducting training needs analysis, arranging relevant training courses and ensuring employees have the relevant skills renewed in a timely manner
o to manage the business procedures ensuring the company’s insurances are relevant and up to date
o on a day to day basis oversee and ensure the admin tasks are completed successfully, procedures are followed in line with the company quality systems,
o schedule workload for engineers in the field ensuring projects are prioritised and carried out in a timely manner to ensure customer satisfaction.
o write the risk assessments and method statements for each and every project, liaising with the engineering teams.
o carry out all recruitment requirements, interviews, inductions, probationary period assessments, disciplinary procedures,
I love technology and use it to enhance business performance, researching, learning, developing, to ensure the business is moving forward with the times within budget and taking advantage of time saving technology. I use all the MS Office programmes including Access; Sage Accounts various versions. I have also used Quickbooks and Xero as well as more bespoke accounting programmes.
